1.    Call to Order
Lane MacLaren, Acting Chair, called the meeting to order.

2.    Approval of the Agenda
Connie MacKay- Carr moved, Kim Devine seconded the approval of the agenda. Motion carried.

3.    Approval of the minutes of  June 12, 2012
Libby Martin moved, Doug MacDonald seconded the approval of the minutes of June 12, 2012. Motion carried.

4.    Financial report
Nora Jenkins reported that the Friends of the Farm has a balance of $6,379.55 of which is $3790.00 the Janice Simmonds Memorial.
5.    Business from previous meeting
·    Premier’s Grove – Connie MacKay- Carr showed the plaques that were made for each of the Premiers trees which she will have installed.  All trees are reported to be healthy.
·    “Crown” Garden – Grew well all summer and was enjoyed.
·    Annual Meeting – The date of November 5, 6 are suggested dates at the Farm Centre.  Various ideas were discussed for guest speaker and Catherine Hennessey and Kim Devine will check some possibilities.
Nominations were discussed and it was agreed that Laura Lee Howard and Josh Weale would be asked to join the Board.  Lane MacLaren agreed to serve as Chair and Doug Mad Donald will serve as Vice Chair.
·    Report on the Memorial Fund – Nora Jenkins reported that thank you notes and receipts were mailed to one hundred donors and thanks for help doing this was expressed. It was agreed that the Friends of the Farm establish the Janice Simmonds Award to recognize a person who has advocated for the preservation of the Farm or other green space.  It was agreed that Libby Martin would write criteria for the award.  Nora Jenkins agreed to contact Henry Purdy to consider designing a lasting plaque. It was agreed that the first award would be given at the annual meeting.
·    Planning for the Memorial Fund – Various ideas were discussed including a gazebo or bench by the lily pond, an apple orchard.  It was also suggested that things could change for the Farm and the Friends might wish to take some time deciding. It is understood that the MacEachern family wishes to plant a magnolia grove.  This will be discussed with Dr Rodriguez and Gail Arsenault from the Research Station and will make arrangements for the family to make this memorial. Lane MacLaren will arrange for a meeting with Dr Rodriguez
·    Website – Connie MacKay- Carr appreciates  items being sent to her to upload to the website.  Connie informs us that Alex Price who set up the site and helped considerably has moved to Edmonton.  Nora Jenkins will write a note to thank her and to wish her well.

6.    New Business
Catherine Hennessey suggested that the Friends of the Farm consider how they might commemorate the 2014 anniversary and that an application be made for funding.

7.    Adjournment and date of next meeting
There being no further business, the meeting adjourned.  The date of the next meeting is Tuesday, October 9, 2012 at Ravenwood.

Janice Simmonds Memorial Fund

At the request of the Simmonds/MacEachern family, The Friends of the  Farm have set up a fund in memory of our friend and board member Janice Simmonds.

Re-establishment of the Floral Crown 2012

The large floral crown was re-established in 2011 by Friends of the Farm.  Located adjacent to the Royal Grove of trees near Ravenwood House, for many years this had been a regular stop for bus tours of Charlottetown.  It also served as a colourful backdrop for wedding parties and other photo opportunities.  Eventually budget restraints at the Research Station resulted in the removal of the crown. 

After an absence of seven years, a number of community-minded companies contributed to building the mound and supplying sod.  And for the second year in a row, Vankampen’s Greenhouses of Charlottetown have provided the almost 1600 plants at a favourable price.  Planted by Agriculture and Agri Foods Canada staff, the result of the co-operative effort is a beautiful addition to the area.

1.    Call to Order
Lane MacLaren, Vice Chair, called the meeting to order. Lane spoke with respect of the passing of the Friends of the Farm Board Chair, Janice Simmonds.
Lane welcomed Bert Christie, past Board member, to the meeting.  Lane thanked Nora Jenkins for hosting the meeting and for arranging lunch.

2.    Approval of the Agenda
Ken MacDonald moved, Doug MacDonald seconded, the approval of the agenda. Motion carried.

3.    Approval of the minutes of May 8, 2012
Ken MacDonald moved, Doug MacDonald seconded the approval of the minutes of May 8, 2012.  Motion carried.

4.    Financial report
Nora Jenkins reported a bank balance of $3,414.44.  She reported a deposit made of $2580.00 from Memorials made in the name of Janice Simmonds.
She noted that the Friends need one more signing authority.
Catherine Hennessey moved, Connie MacKay Carr seconded that Doug MacDonald be authorized to sign cheques for the Friends of the Farm. Motion carried.

5.    Business from previous meeting
·    Premier’s Grove – Lane MacLaren agreed to contact Senator Callbeck to have her tree planted.  Doug MacDonald will check the health of the four trees.  Nora Jenkins will arrange for a replacement of a tree if needed. Connie MacKay Carr will arrange for plaques for the trees.  It was suggested that there be a map of the trees planted.
·    “Crown” Garden – Doug MacDonald reported that 132 dozen plants have arrived from Van Kampen’s who have supplied the plants at half price once again. Planting will take place next week. Nora Jenkins agreed to arrange for a Guardian picture once the plants are established. Doug was thanked for his work on the Crown garden.
·    Rhododendron Garden – Ken MacDonald will arrange for two rhododendrons to be planted. Thanks were expressed to Ken MacDonald for his donation of these plants.
·    Kevin Garvey Presentation – It was agreed that this was a well received presentation that was well attended. Connie MacKay Carr moved, Libby Martin seconded that the Friends of the Farm purchase the DVD that has been prepared by Mr. Garvey on the history of Apple Orchards on PEI. Motion carried.  Nora Jenkins agreed to contact Mr. Garvey regarding the purchase.

6.    New Business
·    Acting Chair – It was agreed that Lane MacLaren, Vice Chair, carry out the Chair duties until the annual meeting.
·    Annual Meeting – It was agreed to set the date later.  It was agreed that thought be given to a guest speaker.  A suggestion was the history of Ravenwood before the Experimental Farm.  Nora Jenkins agreed to contact Ed MacDonald re this topic.
·    Memorials – It was agreed that receipts be written.  Gertie Purdy, Connie MacKay Carr and Sylvia Poirier would look after this task.  A thank you letter would be prepared and Nora Jenkins would organize and carry out the mailing to who made donations to the Friends of the Farm in Janice Simmonds memory.
·    Letter to the Simmonds family – It was agreed that a thank you letter be written to the Simmonds Family for designating the Memorials to the Friends of the Farm.
·    Plan for the Memorial Fund – It was agreed that the memorial donations be placed in a separate bank account. It was agreed that the Simmonds family be kept informed. It was agreed that decisions regarding the memorial funs not be rushed and choose the possible date of one year anniversary. It was agreed that discussion of ideas take place with Dr Rodriguez, Director of the Research Station. Lane MacLaren and Connie MacKay Carr will arrange a meeting with her.
Several suggestions were made – Iron gateway, gazebo by the lily pond, apple orchard, an annual award in Janice Simmond’s name to recognize someone who advocates for green space and the environment.  The award could be made at the annual meeting and a fitting first recipient could be Lloyd MacLeod.
It was agreed to spend some time in thought and discuss at future    meetings.
·    Charitable Status – It was agreed that gaining charitable status is              very long and involved and has been discussed in the past. It was agreed to leave status as is and donors notified in the letter.
·    Website – It was agreed that Connie MacKay Carr place items on the website. Members are to send articles to her.

There being no further business the meeting adjourned.

In Memory of Janice Simmonds

On Monday May 28, 2012 the board of The Friends of the Farm were deeply saddened to learn of the
passing of Janice Simmonds. Janice was a long serving member of the board and in recent years served
as board chair.

The passion and love for the environment in particular the Charlottetown Experimental Farm was
evident in any project she undertook.
As a board we have lost our chair person, but more importantly we have all lost a dear friend. Janice’s
dedication, passion and positive attitude will continue to serve as an inspiration as our work continues.
The board of The Friends of the Farm extend our sincere condolences to Janice’s husband Percy and
the entire Simmonds / MacEachern families .
“Keep your faith in all beautiful things; in the sun when it is hidden, in the spring when it is gone.”

The History of Apple Farming on P.E.I. and the Art of Growing Apples

The Friends of the Farm hosted a public lecture by Kevin Garvey entitled “The History of Apple Farming on P.E.I. and the Art of Growing Apples,” on Wednesday, May 23, 7 pm, at the Farm Centre, University Avenue. Mr Garvey has researched extensively the apple growing indistry on PEI. He described the early apple orchards on PEI, informing that there was once an apple orchard on the Experimental Farm and at the turn of the 20th centruy there were 200,000 apple trees on PEI. He also described the process of devloping an apple orchard and where the present day orchards can be found.

Ken MacDonald moved, Gertie Purdy seconded the approval of the agenda with the addition of Urban Conference to Business Arising.  Motion carried.

 

  1. Approval of the minutes of October 11, 2011 meeting

Libby Martin moved, Gertie Purdy seconded the approval of the minutes of the previous meeting on September 13, 2011.  Motion carried.

 

  1. Financial report

Nora Jenkins reported that the bank balance is $3,156.83.

She reported that a change in signing authority is being made with the Royal Bank of Canada.  Lane MacLaren, Janice Simmonds and Nora Jenkins will now be the signing authority with two of three being required for any transaction.  This had been approved on December 14, 2011.

 

  1. Membership Report

Gertie Purdy, Membership Chair, reported good results from the mail out for the annual meeting.  She informed that there are 334 members with 140 not yet renewed.  It was agreed that Gertie Purdy and Janice Simmonds would have a reminder letter sent to those who have not renewed.

 

  1. Business from previous meeting
  • Trees, Gardens & Rhododendrons – Janice Simmonds reported that all had gone well with the tree planting and that former premier Catherine Callbeck will plant in the spring. The rhododendron has not been planted and is in the care of Ken MacDonald.
  • Website

Connie MacKay Carr reported that she and Doug MacDonald have the instructions for uploading to the site. She asked for ideas of things that could be included on the site.  It was agreed that the history of the Farm should be included.

  • Annual Meeting

Lane MacLaren reported that the annual meeting went very well with a positive response to the guest speaker, Kirsten Connor, Upton Farm Trust. It was agreed that it is important to foster a good relationship with the Upton Farm Board.

 

  1. New Business
  • Meeting with Mayor Clifford Lee

Nora Jenkins informed that she and Roger Younker had spoken with Mayor Lee and that he informed that he is pursuing with the Federal Government the idea of turning the Experimental Farm over to the City to commemorate the anniversary of the 1864 meetings held in Charlottetown. He explained the difficulty in getting this request heard in Ottawa.  It was agreed that Nora Jenkins write a letter to Mayor Lee expressing the support of the Friends of the Farm in this Endeavour and asking how the Board might assist. It was agreed that the Mayor be invited to the next meeting of the Friends of the farm Board on Tuesday, February 14, 2012.

Sylvia Poirier reported that she has spoken with Phillip Brown, assistant to MP Gail Shea and also with Gail Shea to familiarize them with the Friends of the Farm and to request their support if there is any activity regarding the Farm by the Federal Government.
